Youth Link NI is committed to protecting the privacy and personal data of the young people, adults, staff, and partners we work with. This Privacy Notice explains what information we collect, why we collect it, how we use it, and your rights under the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
Terms & Conditions - the basics
Youth Link NI is a voluntary youth organisation working to empower young people and support peacebuilding, training, and inter-church collaboration. Youth Link will be known as the “Controller” of the personal data you provide to us.

What data we collect
We only collect information that is relevant and necessary, for registration on accredited training programmes:

Name, contact details and email address

Programme participation details

Information you provide through forms, surveys, or training records
We do not routinely collect special categories of data (such as health information) unless it is strictly necessary — for example, to ensure your safety on a programme.

Why we need your data
We use your data to:

Record participation in our programmes

Report to commissioners on participant numbers and experiences

Communicate with you about events, training, and opportunities

Comply with legal obligations (e.g., safeguarding, financial reporting)
We will never collect more data than we need.
How we process and store your data

All personal data is processed by Youth Link staff and stored securely.

IT hosting and maintenance take place on servers located within the EU.

No third parties have access to your data unless the law requires it.

We have a Data Protection Policy in place to oversee effective and secure processing.
How long we keep your data
We are required under UK tax law to retain basic personal data (name, address, contact details) for at least 6 years. After this period, data will be securely destroyed unless there is a legal or contractual reason to keep it longer. More detail is available in our Data Protection Policy (available on request).
